- Click into your EMPLOYEE MANAGEMENT / PEOPLE section.
- Click on the name of the person you want to add allocated vacation/sick days for.
- Click into the EMPLOYMENT section.
- Click on the green EDIT DETAILS button.
- Scroll down to the TIME OFF section. This is a space to add data points for time-off accruals, including historical information to have the system generate various related reports.
- Fill in Starting Values (the values entered here are for existing time-off entitlements).
- So if you are starting to use the system at the beginning of a new year (ie January 1), the starting values would be any carry-over you want to add to the time off they accrue starting on January 1.
- If you are starting to use the system in the middle of the year (ie June 1), the starting values would be how many days they have left for each type of time off as of Ju
- Mandated Vacation
- The amount of government mandated vacation. This value is used to display a more accurate accounting of additional vacation value for employees.

- You can also add Accrual Rates. Accrual rates matter for any type of time off that has a maximum per year.
- For example, if you are starting from January 1, you would enter in the maximum amount of time off allowed for the year for each type that has a maximum per year. If it doesn't have a maximum per year (ie if you're tracking something like Travel), then just leave it blank.
- If you are starting to track the Accrual Rate from the middle of the year, let's say June 1, you would enter in the maximum amount of time allowed for the entire year. It will just start tracking the accrual starting on June 1.
- Click the SAVE EMPLOYEE button.
EXAMPLE 1: Jocelyn is allowed 15 Vacation Days per year, 4 Wellness/Sick Days, and 1 Day off for her Birthday. She started using ContrastHR on June 1. At that time, she had 8 Vacation Days left for the year. She had 2 Wellness/Sick Days and she still hadn't used her day off for her Birthday.
- Her "Starting Value" for Vacation would be 8.
- Her "Starting Value" for Wellness/Sick Days would be 2.
- Her "Accrual Rate" for Vacation would be "As Of" June 1 of whatever year because this is the date you are starting from.
- You would enter "15" under Vacation because she can accrue a maximum of 15 vacation days per year.
- You would enter "4" under Wellness/Sick because she can accrue a maximum of 4 wellness/sick days per year.
- For Birthday, since this one day accrues over the entire year, we've added it's own Accrual Rating beginning January 1.
EXAMPLE 2: Paul is allowed 15 Vacation Days per year, 4 Wellness/Sick Days, and 1 Day off for his Birthday. He started using ContrastHR on January 1. At that time, he had 3 Vacation Days carrying over from the previous year/system.
- His "Starting Value" for Vacation would be 3 (this is what is carrying over and being added to the vacation he accrues this year).
- His "Starting Value" for Wellness/Sick Days and Birthday would be 0 since nothing is carrying over to this year.
- His "Accrual Rate" for Vacation would be "As Of" January 1 of whatever year because this is the date you are starting from.
- You would enter "15" under Vacation because he can accrue a maximum of 15 vacation days per year.
- You would enter "4" under Wellness/Sick because he can accrue a maximum of 4 wellness/sick days per year.
- You would enter "1" under Birthday because he can accrue a maximum of day off for his Birthday per year.
